Using Merge Fields in Engage Communications

The Engage communications editor allows clients to add merge fields to their communications to personalize their messages to advocates.

To add a merge field to your communication, place your cursor where you would like to insert the customized text and click the “Insert Merge Field” button highlighted in the image below by the green arrow.

When the “Choose Merge Field and Default Value” window appears, select the data field you would like to include in the email and enter your “Default Value.”  The default value is the text that will appear if there is no data on the advocate or officials record field selected.  In the example below, if an advocate record does not have a first name, the word “Friend” will be substituted.

In addition to any data stored in a custom question, advocate info merge field options include:

  • First Name
  • Last Name
  • Middle Initial
  • Prefix
  • Suffix
  • Address Line 1
  • Address Line 2
  • City
  • State
  • Zip Code
  • Phone Number
  • Company Name
  • Job Title
  • Facebook Handle
  • Twitter Handle
  • LinkedIn Handle
  • Google+ Handle
  • Email Address
  • External ID
  • Province
  • Country
  • Capwiz ID
  • Mobile Phone
  • Date Created External

NEW 5-22-2015 Legislator name, phone number, and address specific to an the communication recipient’s representation are  also available as merge fields for the following Official types:

  • US Senior Senator
  • US Junior Senator
  • US Representative
  • Governor
  • Lt. Governor
  • Attorney General
  • State Upper
  • State Lower

If multiple persons are in a district, such as in New Hampshire, each member is listed as comma delimited.

Telephone numbers includes both main and district office numbers for both state and federal officials as available.

Addresses includes both main and district office addresses for both state and federal officials.

For vacant offices, clients can add “Default Text” just as they would for advocate info merge fields.

When you submit your selections you will return to your communications editor.  The selected merge field will be appear as highlighted by the blue arrow in the image above.
